Basil Training provides conversation practice for restaurant staff. This notice explains what personal data we collect, why, and what your rights are.
Who we are
Daniel Hayes trading as Basil Training is the data controller for the personal data described in this notice.

What we collect
If you enquire about the product
Your name, email address, and anything you choose to tell us about your venue in the message.
If you try the demo
Voice recordings of what you say during a practice conversation, and the text transcript produced from them. The demo does not ask you to identify yourself, so we do not link this to a name.
If your employer gives you a training account
Your name and email address, the voice recordings and transcripts of your practice conversations, the scores and feedback generated from them, and a record of which training you have completed.
You can use the practice conversations by typing instead of speaking. If you do, no voice recording is made.
Why we use it, and our lawful basis

We do not use your data for advertising, and we do not sell it.
Who we share it with
We use a small number of service providers who process data on our behalf:
- Speech and language processing providers — to convert your speech to text and to generate the simulated guest’s replies and your feedback. Based in the United States.
- Hosting and infrastructure providers — to run the website and the training application.
- Email and customer enquiry providers — to receive and manage enquiries.
Each is bound by contract to process data only on our instructions. We do not share your data with anyone else unless we are legally required to.
International transfers
Some of these providers are outside the UK. Where that is the case, transfers are made under the UK International Data Transfer Agreement or the UK Addendum to the EU Standard Contractual Clauses, or to a country the UK government has decided offers adequate protection.
How long we keep it
- Voice recordings — deleted as soon as the recording has been converted to text. We do not keep audio.
- Transcripts, scores and feedback — 12 months from the date of the practice session.
- Enquiry emails and contact details — 24 months from your last contact with us.
Your rights
Under UK data protection law you have the right to:
- ask for a copy of the personal data we hold about you
- ask us to correct it if it is wrong
- ask us to delete it
- object to us using it, or ask us to restrict how we use it
- ask us to transfer it to another provider
To exercise any of these, email dan@basil.training. We will respond within one month.
If your employer provides your training account, they may also hold a copy of your training records. You can ask them directly, or ask us and we will help.
If you are unhappy with how we have handled your data you can complain to the Information Commissioner’s Office at ico.org.uk.
